Google's Gemini AI Gets Major Workspace Upgrade, Now Pulls Data from Emails and Files

Google Unveils Major Gemini AI Enhancements Across Workspace Suite

Google has rolled out a substantial batch of updates to its Gemini artificial intelligence system within the Workspace suite, significantly boosting productivity by allowing the AI to leverage context from user emails, files, and chats. This integration enables the generation of first drafts, construction of spreadsheets, and design of presentations seamlessly, eliminating the need for manual tab-switching or copying of content.

Beta Rollout and Initial Availability

The new features commenced their beta rollout on March 10, initially accessible to Google AI Ultra and Pro subscribers, as well as Gemini Alpha business customers. Currently, these enhancements are available exclusively in English, marking a targeted expansion of AI capabilities for professional users.

Revolutionary "Help Me Create" Tool in Google Docs

A headline change is the introduction of the "Help me create" tool in Google Docs. Users can simply describe their needs—for instance, requesting a newsletter based on January HOA meeting notes—and Gemini will automatically extract relevant content from Gmail, Drive, and Google Chat to produce a formatted first draft. Given that over one-third of new Docs are created as copies of existing files, Google is also adding a "Match doc format" option. This feature automatically mirrors the layout and style of a reference document, while a "Match writing style" tool helps unify tone across documents with multiple contributors, ensuring consistency in collaborative projects.

Significant Upgrades to Google Sheets with Speed Claims

Google Sheets receives the most substantial upgrade in this rollout. Gemini in Sheets can now build entire spreadsheets from a single natural language prompt, including pulling data directly from your inbox and files. A new "Fill with Gemini" feature auto-populates table cells, with Google claiming it is nine times faster than manual entry based on a study involving 95 participants, though the methodology details are limited. More credibly, Gemini in Sheets achieved a 70.48% success rate on the SpreadsheetBench dataset, which Google states is close to human expert performance. Additionally, a new optimization tool, powered by Google DeepMind's OR-Tools, can handle complex scheduling and resource allocation problems through plain-language prompts, enhancing efficiency for business tasks.

Enhancements in Google Slides and Drive

In Google Slides, Gemini can now generate individual slides that match the existing theme of your presentation deck, pulling context from your files and emails. While full presentation generation from a single prompt is still in development, this feature streamlines the creation process. Meanwhile, Google Drive is getting AI Overviews in search—similar to recent additions in Gmail—along with an "Ask Gemini in Drive" tool for querying across files, calendar, and email. The Drive features are currently limited to the US, whereas all other updates are rolling out globally in English.
